We’re looking for a Studio Manager to join our team in Barcelona.
About us
Bakken & Bæck is a technology-driven design studio working out of Oslo, Barcelona, Amsterdam, Bonn, and London. Building digital products, brands, and businesses, we help ambitious companies identify, explore and respond to new opportunities. As one international team across offices, we have all the skill-sets needed to help businesses adapt to an increasingly complex world.
We’re committed to cultivating a diverse and inclusive workplace where everyone feels comfortable, regardless of their identity, experiences, and beliefs. We want BB to be a place where you can try out new things with the risk of failing, where you can take ownership over your own work without being micromanaged, and where there’s a low barrier for coming up with ideas — no matter your job title or discipline.
Work-life balance is important to us, and we believe in providing a supportive and structured environment to help you achieve it. While this part-time role requires working from the office, we ensure that your time on-site is purposeful and productive. You’ll still have some freedom in how you approach your tasks and manage your responsibilities, but the focus will be on collaboration and being present in the office when needed.
About the role
As a part-time Studio Manager (40%) based in Barcelona, you will play a vital role in shaping the daily environment and supporting the smooth operation of our Barcelona office. From managing the workspace to fostering a positive culture and handling essential administrative tasks, you'll ensure everything runs seamlessly. You'll focus on office spaces, people & culture, and finance, helping us continue to thrive as a dynamic and creative workplace. Your areas of responsibilities will include:
Studio Experience
- Maintain the studio as an inspiring, clean, and welcoming space, with attention to décor, comfort, and functionality (plants, snacks, furniture, etc.).
- Ensure compliance with health and safety regulations, and handle general office maintenance, recycling, and waste management.
- Collaborate with people operations and finance to address studio and team needs promptly.
- Manage relationships with external vendors for services such as cleaning, catering, and facility maintenance.
Community & Culture
- Organise fun and meaningful team events, from social gatherings to milestone celebrations
- Support the onboarding process to make new hires feel welcome and equipped with everything they need, ensuring a smooth transition into the studio environment.
- Foster BB’s values through creative initiatives that bring the team closer and promote a vibrant office culture.
Finance & Operations
- Partner with accountants to manage day-to-day financial tasks such as expenses, invoices, reimbursements, documentation and insurance agreements.
- Take charge of stock control, ensuring supplies and equipment are available and up-to-date.
- Report monthly on studio running costs and financial matters to the finance manager.
- Manage contracts with landlords, vendors, and other external providers.
To thrive in this role, we hope that
- You are personable and enjoy building strong relationships with colleagues and external partners.
- You are highly organised, able to juggle multiple responsibilities, and enjoy ensuring smooth office operations.
- You have a keen eye for aesthetics and an appreciation for design, contributing to the office’s creative atmosphere.
- You are a problem-solver, resourceful in finding solutions, and always looking for ways to make the workplace more fun and efficient.
- You bring energy and a positive attitude to the role, with a passion for supporting your team.
- You are self-motivated and proactive, able to prioritize tasks, and maintain accountability for getting things done.
- You are an excellent communicator, fluent in both Spanish and English, and can comfortably navigate conversations with colleagues, vendors, and external partners in either language.
